Terms of Service

Grounded is an operational accountability system for hospitality and QSR businesses, made up of two connected apps — the Owner App and the Manager App — operated under ABN 79 554 876 311. By creating an account or using either app, you agree to these terms.

1. The service

Grounded lets an owner build a shift plan, and lets managers work through that plan, log tasks, submit photos, and write shift reports. Both apps share one account and one dataset for your business.

2. Trial and pricing

New accounts get a 21-day free trial with full access and no card required. After the trial, continued use costs $7 AUD per week, billed weekly via Stripe. Prices are in Australian dollars and may change with reasonable notice to active subscribers.

3. Cancelling and refunds

Cancellation is entirely self-serve, done in the Owner App from Settings → Account → Cancel subscription. There's no email or waiting period required. Cancelling takes effect immediately — your access ends right away, not at the end of the billing period.

If you cancel during a week you've already paid for — whether right at the start of it or partway through — that week's $7 charge is refunded to you in full. You are never charged again after cancelling.

You can also permanently delete your account and all associated data yourself at any time from Settings → Account — this immediately removes your shifts, notes, reviews, managers, sites and account record, and cannot be undone. This is separate from, and more permanent than, simply cancelling your subscription.

4. Your responsibilities as an owner

If you use Grounded to manage staff, you are the one who employs or engages them — Grounded is a tool you use, not a party to that relationship. You're responsible for:

• Telling your staff what's recorded about their shifts — including photos, task completion, and performance scores — and why.
• Meeting any workplace surveillance, monitoring, or privacy obligations that apply to your business under your state or territory's laws.
• The accuracy of the shift plans, standards, and instructions you set for your team.

5. Acceptable use

Don't use Grounded to store or transmit anything unlawful, to attempt to access another business's account or data, or to interfere with the service's normal operation.

6. Availability

Grounded is provided as-is. We aim for high availability but don't guarantee the service will be uninterrupted or error-free, and we're not liable for losses arising from downtime, to the extent permitted by law.

7. Liability

To the extent permitted by Australian law, Grounded's liability for any claim relating to the service is limited to the fees you paid in the 3 months before the claim arose. Nothing in these terms excludes rights you have under the Australian Consumer Law that can't lawfully be excluded.

8. Changes

We may update these terms from time to time. Material changes will be notified to active accounts before they take effect.

9. Governing law

These terms are governed by the laws of Victoria, Australia.

Privacy Policy

Grounded is a small business operated under ABN 79 554 876 311. This explains what we collect through the Owner App and Manager App, and what we do with it.

1. What we collect

From owners: your email, business name, and site details you enter.

From managers: your name and role, as added by your owner. Your PIN is never stored in readable form — only a one-way cryptographic hash that can't be reversed back into your PIN.

Shift data: tasks completed, timestamps, scores, written shift reports, and any photos taken during a shift.

Payment: handled entirely by Stripe. Grounded never sees or stores your card number — only Stripe does, under its own privacy policy.

2. Why we collect it

To run the service: to show owners what's happening across their sites, to show managers what a shift requires, and to bill active subscriptions.

3. Where it's stored

Data is stored with our infrastructure providers (Supabase for the database and file storage, Stripe for payments), hosted in Asia-Pacific data centres. We don't sell your data, and we don't share it with anyone outside the account it belongs to, except where the law requires it or where a provider above needs it to run the service.

4. If you're a manager, not the account owner

Your account owner controls what's collected about your shifts — the photos, scores, and reports are visible to them by design; that's the point of the system. If you have questions about what's recorded about you, your owner is the first point of contact, since they set up your access.

5. How long we keep it

For as long as the account is active. If an owner deletes their account, all shifts, notes, reviews, managers, sites, and the account record are deleted immediately and permanently — this can be done at any time from Settings → Account.

6. Security

We use industry-standard measures — encrypted connections, access controls scoped to your own account, and hashed (not plaintext) PINs. No system is completely immune to risk, and we keep improving this as the product grows.

7. Small business exemption

Grounded may fall under the small business exemption in the Privacy Act 1988 (Cth). Regardless, we aim to handle personal information consistent with the Australian Privacy Principles as a matter of good practice.

You can ask what we hold about you, correct it, or ask for it to be deleted, by emailing source.grounded@gmail.com.
